The same money, two statements

INR
An advance is money the client has paid for an event that has not happened. Operations counts it as funding and the balance sheet counts it as a debt, and both are right — but a reader shown only the first believes the year is made, and a reader shown only the second cannot see what it is made of.

Across 5 events. The client has paid and Sixteen Frames Live still owes them the event, so this is a debt and not a takings figure. It becomes income when the event is delivered and not one day before.

Agreed with clients7,41,00,000Nowhere on the balance sheet. An order is not an asset, and none of it is income until the event happens.
Received from clients3,07,10,000A liability. Sixteen Frames Live holds the money and owes the client an event.
Paid out on those events2,94,40,000An asset — work in progress — carried until the event is delivered and the cost can meet the income it was spent to earn.
Bound to pay5,62,30,000Nowhere on the balance sheet either. It is a commitment, and it belongs in the notes rather than in the numbers.
Reaching profit or loss today0Nothing. Not one of these events has reached the income accounts, which is what the treatment above requires.

3 further events Concert tour — three cities, Film awards night — Kochi, Tech summit — Infopark — still show an advance held against a date that has already passed, and they are not counted above. An event is treated as delivered here because its date has gone by, which is a fact about the calendar rather than about the event. Either it happened and the income was never taken, or it did not and the money is owed back — and the two are settled by different entries.

Contract, committed and actual

INR
Committed cost counts against an event as much as cash already paid does. A margin that looks only at what has been spent flatters an event that has already signed away the rest, and the signing is the part nobody can undo.

Work committed against a contract nobody has signed

A contract value with no signature under it is a number both sides currently agree on and neither is bound by. What has been committed and spent against it is bound, and it is bound to the vendors rather than to the client.

Onam music festival — Thrissur1,89,90,000
Corporate offsite — Munnar55,00,000

2,44,90,000 INR is committed or already spent against contracts that are not signed. Those costs are owed to vendors under agreements that stand on their own, so a client who walks away leaves them behind. The decision is not whether to chase the signature — it is whether to keep booking vendors before it arrives.

The last column is the committed and the spent added together, and it opens nothing — each of the two figures it adds opens its own workings beside it. It is set out on its own because it is the only amount on the row that survives the client walking away.

What cancelling would cost

Not the margin lost. The money already paid to vendors and artists, which nobody is sending back, plus what has been committed to them and cannot be called off.

The advance does not appear in the last column, and that is the whole of it. Cancelling means returning the advance, and what has not been spent of it is returned with it — so the money that does not come back is the money that has already left, plus the money that is promised and cannot be called off. Because the advance was never income, cancelling costs the same in cash as it costs in profit: 8,56,70,000 INR. An events business that had booked those advances as revenue would show a profit today and this same figure as a loss tomorrow, twice over.

3 events have had more paid out on them than the client has advanced — Bank annual conference — Kochi, Consumer brand launch — Kochi, Onam music festival — Thrissur. The group is funding the client’s event out of its own cash, which is a decision somebody may well have taken deliberately, and is worth taking deliberately rather than by arithmetic.

Nothing has been paid to a vendor or an artist ahead of the work. Every cost above is therefore either already invoiced or already committed, and none of it is sitting as a balance somebody would have to be asked to return.

The event register of Sixteen Frames Live, read from Tally Prime. No refund term is recorded against a client advance and no cancellation term against a vendor commitment, so both are assumptions and both are daggered. They are the prudent reading rather than the likely one: a deposit is usually part refundable and a commitment usually part cancellable, and every recovery reduces the figures below.
